ClickUp Integration Overview

ClickUp is a modern project management platform popular with digital agencies. When you connect it to WorkSights, the work your team is already doing flows automatically into the activity timeline alongside the rest of your tools. Leaders get a complete picture of how projects are moving without asking anyone to change how they work.

How ClickUp Activity Appears

ClickUp activity appears in three categories in WorkSights: Task, Comment, and Time Log.

Task activities show the full ClickUp hierarchy in the title: Space > Folder > List > Task > Action. When a list sits directly under a space with no folder, the folder level is omitted: Space > List > Task > Action. The action reflects what happened: task created, status changed, assignee changed, and so on. Status changes include the old and new values. Task renames show both the previous and updated name.

When the same type of change happens to a task multiple times within 10 minutes, WorkSights groups them into a single activity rather than creating separate entries. A status changed twice in quick succession, for example, produces one activity showing both transitions in order rather than two separate entries.

Comments appear with the task hierarchy in the title and the first 180 characters of the comment text in the detail field. Long comments are truncated.

Time Log entries follow the same hierarchy as tasks, ending in Time Log rather than an action: Space > Folder > List > Task > Time Log. Duration is displayed in minutes. Multiple time entries logged on the same task within 10 minutes are summed together rather than shown as separate entries.

What WorkSights Receives

Task activity

WorkSights captures task created, updated, renamed, status changed, assignee changed, and moved events. Only activity that occurs after the integration is connected will appear. ClickUp's existing tasks and history are not imported on connect.

Comments

Each comment on a task appears as a separate activity. The first 180 characters of the comment text appear in the activity detail field, truncated mid-sentence where the limit is reached.

Time entries

ClickUp's native time tracking is ingested as Time Log activities, the same category used by Harvest, Toggl Track, and Everhour. Time entries appear when a timer is stopped or a manual entry is saved. Entries do not appear while a timer is still running.

Users

WorkSights imports ClickUp workspace members and matches them to WorkSights users by email address. Users are synced daily. Guest users are excluded from ingestion and will not appear regardless of mapping.

WorkSights does not ingest ClickUp Goals, Key Results, or Docs. ClickUp Docs do not have webhook coverage and cannot be ingested at this time. Custom field changes come through as generic task update events without the specific field detail.

Integration Page Overview

The ClickUp integration page contains:

  • Overview Tab: connection status and integration owner
  • Users Tab: ClickUp workspace members mapped to WorkSights users
  • Connections Tab: connected ClickUp workspaces

Data Access and Privacy

WorkSights accesses ClickUp through OAuth authorization. The integration is read-only.

WorkSights receives:

  • Task identifiers, titles, statuses, and action history
  • Comment text previews up to 180 characters
  • Time entry duration and task context
  • Workspace member information for user mapping

WorkSights does not receive:

  • ClickUp Docs content
  • Custom field values
  • Goals or Key Results
  • Any content beyond task and time tracking metadata

Troubleshooting

If ClickUp activity is not appearing:

  • Confirm the affected user is mapped in the Users tab. WorkSights matches by email. If the email in ClickUp differs from the email in WorkSights, the user will not be mapped automatically.
  • ClickUp is webhook-only. Activity only appears when something happens in ClickUp after the connection is made. If nothing has changed since connecting, nothing will appear yet.
  • Guest users are excluded. If a user's role in ClickUp is Guest, their activity will not appear regardless of mapping.

If a task title shows "Unknown Space" or "Unknown List":

  • The hierarchy fetch failed when the event first arrived. WorkSights will retry automatically on the next event for that task. If it persists, use the Refresh Connection button on the integration page or contact support.

If time entries are not appearing:

  • Check that the timer has been stopped and saved. Time entries only fire when time is actually logged, not while a timer is still running.
  • Confirm time tracking is enabled on the ClickUp workspace.

If events suddenly stopped:

  • The webhook may be suspended. ClickUp suspends a webhook after 100 failed deliveries. Use the Refresh Connection button on the integration page. If the issue persists, contact us at success@worksights.ai.
  • The webhook is tied to the ClickUp user who authorized the connection. If that user has been disabled or removed from the workspace, events will stop. Use the Refresh Connection button on the integration page. If the issue persists, contact support.
