Zoom Integration Overview

The Zoom integration brings meeting, webinar, and phone call activity into the WorkSights timeline. Once connected, WorkSights receives completed sessions and creates an activity entry for each mapped user who participated, whether as host or attendee.

Activity appears after a session ends, not while it is in progress. WorkSights does not show live or in-progress Zoom state.

What WorkSights Receives

WorkSights captured completed meetings, webinars, and phone calls for all mapped and subscribed participants. For meetings and webinars, this includes the session title, meeting type, start and end times, and each participant’s join-to-leave duration. For phone calls, this includes call direction, caller ID when available, start and end time, and duration.

WorkSights does not import historical Zoom data on connect. Only sessions that end after the integration is established will appear.

WorkSights imports Zoom users and matches them to WorkSights users by email. Users without an email address in Zoom are skipped.

How Zoom Activity Appears

All Zoom activity is categorized as Call and appears in cyan on the timeline regardless of whether it was a meeting, webinar, or phone call.

Each mapped and subscribed participant in a completed meeting or webinar receives their own activity entry. The title reflects their role: Hosted a scheduled meeting: Topic or Attended a scheduled meeting: Topic. Duration is each participant’s actual join-to-leave time, not the overall session length. Meetings, webinars, and phone calls each require a separate active feature subscription in WorkSights.

Unmapped attendees do not generate activity entries but are still recorded as participants, which allows WorkSights to build the ClientSights relationship graph from the call. Participant emails resolve to ClientSights Person records and email domains resolve to Company records, giving leaders visibility into who their team is meeting with.

Zoom Chat, whiteboards, reactions, polls, recordings, and transcripts are never ingested. WorkSights receives session metadata only.

Integration Page Overview

The Zoom integration page contains four tabs:

  • Overview - Connection details and integration owner
  • Users - Zoom accounts mapped to WorkSights users by email
  • Features - Visibility controls for Meetings, Phone, and Webinars
  • Connections - Connected Zoom accounts

Troubleshooting

No Zoom activity appearing at all

Confirm the affected user is mapped in the Users tab and that their Zoom and WorkSights email addresses match. Confirm the relevant feature subscription is active for that user. Activity only appears after a session ends, so allow up to 20 minutes after the meeting or call completes.

A specific meeting or call is missing for one user

Confirm the user was a participant in that session and is mapped by email. Confirm the session ended after the integration was connected, as no historical data is imported. Check that the relevant feature subscription is active.

Zoom Phone activity is not appearing

Confirm the user has an active Zoom Phone subscription in both Zoom and WorkSights.

Activity is delayed

This is expected. Activity is captured when Zoom delivers the session-ended event and processed in batches roughly every 20 minutes after that.
